4 Reasons I Love Using Dubsado as a Wedding Photographer

If you haven’t heard of Dubsado, it is a popular client management system that is geared towards creative business owners! This is the program I use to ensure that I stay organized and don’t miss a step within my clients experience with me. I originally used Honeybook but made the switch to Dubsado about a year later after seeing how it looked from the clients perspective. Below are some of the reasons that I absolutely LOVE Dubsado.

Dubsado is VERY Customizable

You can easily customize all documents that are sent to clients to be cohesive with your branding. My contract proposals and questionnaires are now very on brand and visually appealing to clients without any Dubsado branding present. The client portal is all customized to fit my brand as well. You are also able to customize the domain name so that when you send links to clients, the domain has your domain name instead of Dubsado’s which is amazing.

Scheduling System

Dubsado has an appointment scheduler that is also very customizable. You can go through and set the times in the calendar that you are available for. The length of the appointments are customizable to whatever you wish. You can also decide how much of a gap you want between your appointments. And, if you want to limit the number of appointments that are allowed to be booked in a day, you can do that too. I use this to schedule ALL sessions. It makes things so easy for myself and my clients. There is no back and forth of asking about availability, I just simply send the link to my couples. They then can go through the calendar and pick the date that works for them.

Automation/ Workflows

Within Dubsado you can create workflows. You can create different workflows depending on the type of service you are offering so you can have a different workflow for each type of session you offer. In these workflows you can actually set things to happen after other actions occur or on specific dates. So, you can trigger an email to automatically be sent once a client has paid or once they’ve booked an appointment. You can also trigger things to happen on specific dates. I personally make sure that all my emails have to be approved first, so they don’t just send on their own. I do this because I like to be able to personalize the email specific to my client. But, if it’s a general email, you could choose to have it send automatically. You can also trigger tasks to be added to your workflow when certain actions are taken! There is just so much that you can do with the workflows. It really helps me stay on top of everything.

Accounting

As your invoices are paid, Dubsado will automatically track your income in their reports & transactions section. In the transaction section you are also able to manually input all your expenses. The best part is, it allows you to categorize everything! This allows you to see where you are spending most of your money and what portion of your business brings in the most for your business. It breaks it all down into very visual charts which I love as well. It is definitely not a super advanced system but, I find it to be an extremely helpful tool to keep track of income and expenses.
